Kingsmith Care are recruiting a full time Head of Operations to join our independent domiciliary care company in Fulham, west London. Rated ‘Outstanding’ by the Care Quality Commission (CQC), this is a key post in the continued delivery of exceptional person-centred care to our clients and in the retention of our rating.

Contract type: Permanent

Contracted hours: Full-time 40 hours per week.

Responsible to: Director / Registered Manager

Responsible for: Human Resources Assistant, Administrator, Care Coordinator, Trainer and other occasional temporary staff.

Location: Office based (Fulham)

Salary: £45,000 – £50,000 per annum

Job Description

Key responsibilities

1. Operational delivery
· Manage and develop all operational and office functions to ensure the smooth running of the Company and to support the delivery of ‘Outstanding’ care to clients

· Manage and develop the Company’s communications and IT infrastructure, ensuring it is fit for purpose, cyber secure and GDPR compliant.

· Ensure on-call cover is planned and in place at all times.

2. People Management
· Manage direct reports and temporary staff, providing timely support, supervision and appraisal.

· Embed our ‘culture beats policies’ approach whilst ensuring appropriate, up to date and legally compliant HR systems throughout the employee life cycle including: recruitment; onboarding; induction; training & development; policies; performance management systems and processes; employee engagement, reward and recognition etc

· Oversee any employment relation issues that may arise from time to time, e.g. grievances, disciplinaries, etc

· Develop and embed an appropriate and effective ‘strength based’ performance management system that identifies and builds on people’s strengths, and acknowledges and works within people’s limitations.

· Ensure appropriate, honest and constructive feedback is delivered throughout the company.

· Develop monitoring and reporting systems that provide useful insights and resources to the Directors and Managers.

3. Regulatory and legal compliance
· Update systems and processes that fall within the scope of this role with the latest industry, legislative and regulatory guidance from relevant and appropriate sources.

· Develop an understanding of CQC’s regulatory requirements to ensure that tasks that fall within the scope of this role are delivered in a way that explicitly demonstrates regulatory compliance.

· Support the company by working with the Directors and Managers to prepare regulatory evidence for CQC.

4. Financial task support
· Support the management and delivery of timely and accurate payroll and invoicing functions.

· Support the delivery of robust financial processes including budgets, management accounts, cost and risk management strategies.

· Work with the company accountant to support the delivery of annual accounts and other reports.

5. Other
· Oversee expenditure for the area of the business the role is responsible for, including outsourcing to suppliers (subject to the required Director approval) and making recommendations based on cost and service delivery.

· Nurture and role model the Company’s culture and values. Actively contributing to maintaining an environment that builds employee trust, engagement and commitment.

· Support the company marketing and communications by actively contributing ideas, news stories, articles and photographs for the Kingsmith Care communication channels.

· Perform any other duties consistent with the role and / or reasonably required by the Directors including emergency on-call and client cover if needed.

Person Specification

Essential skills, knowledge and experience:
· Degree or equivalent qualification.

· Minimum 5 years relevant experience at a similar management level.

· Minimum of 1 year (paid or unpaid) practical experience in a caring role.

· Knowledge and experience of HR policies, procedures and systems.

· Commercial awareness and understanding of the adult social care environment.

· Knowledge and experience of financial management.

· An awareness of CQC regulatory requirements in adult social care.

· An awareness of the requirements of GDPR.

· Proven capability of operating as a trusted advisor to senior leadership colleagues.

· Proven ability to understand a diverse workforce and support individuals to reach their full potential through effective leadership and support.

· Ability to lead with maturity and emotional intelligence to nurture and manage successful employee relations and performance.

· Confident and competent in advising line managers on all aspects of people management and development.

· Excellent communication skills – written, verbal and active listening.

· Digitally competent and the ability to apply these skills to new platforms and interfaces.

· Ability to work flexibly in a fast-moving environment within a small, close knit, multi-tasking team, including willingness to occasionally work outside normal work hours/days should the need arise.

· Ability and willingness to support the delivery of the Company’s short, medium and long-term objectives.

Desirable skills, knowledge and experience:
· Based in west London

· CIPD HR qualification

· Diploma Level 3 or above in adult social care

· Train the Trainer qualification
